A Short Talk with Senior Project Manager Carlos Martínez

Carlos Martínez is the kind of leader who keeps the wheels turning across multiple teams, clients, and time zones—all while staying calm, clear, and relentlessly client-focused. As a Senior Project Manager and certified vCISO at BetterWorld Technology, Carlos helps ensure the company’s most complex projects land smoothly and with minimal disruption. We sat down with Carlos to hear how his team operates, what makes a project succeed, and why great communication is more important than ever.

A Short Talk with Carlos Martínez | BetterWorld Technology

Carlos, thanks for taking the time. Let’s start with the basics—what does the Project Management team at BetterWorld actually do?

Carlos Martínez: We handle a range of customer needs every day—things like escalations, account inquiries, invoicing, and other operational requests. But our core focus is managing the formal projects our clients want to pursue.

A project typically has a major impact on a business. It requires scoping, planning, coordination, and careful execution. That could mean standing up a new system, migrating infrastructure, or launching something completely new. Most projects also come with a billable component, so clear communication and transparency are critical. We’re there to ensure every piece moves smoothly.

How does BetterWorld’s purpose-driven mission shape the way your team manages projects?

Carlos Martínez: We always aim to improve our clients’ infrastructure, security posture, communication systems, and day-to-day operations. But just as important is how we deliver those improvements—with minimal disruption to users and as much clarity as possible.

That’s where our mission really comes through: we’re not just delivering IT solutions. We’re helping businesses grow sustainably, securely, and with the least friction possible. We care about the impact, not just the outcome.

What makes a successful IT project in today’s environment—especially with so much remote work, cyber risk, and ongoing change?

Carlos Martínez: Success today means balancing complexity with calm. And that starts with planning. When we take the time to deeply understand the project, anticipate risks, and build solid backup plans, we can reduce disruption, minimize user friction, and keep the business running.

Clients today face more variables than ever—remote workforces, compliance needs, evolving cyber threats. That’s why preparation matters. If we do the planning right, the execution becomes a whole lot smoother.

Where do things tend to go off track in IT or MSP projects—and how do you avoid that?

Carlos Martínez: The biggest issue is poor communication—especially with end users. When you’re making big changes to an organization, most users aren’t fully aware, and some may be hesitant or resistant. That’s why internal communication is key.

We work closely with client points of contact to make sure multiple announcements go out, documentation is prepared and distributed, and someone is available to answer user questions. When users feel informed, supported, and not blindsided, everything runs better. That’s a crucial part of our planning phase.

You work across regions, teams, and service lines. What’s your secret to keeping projects moving and people aligned?

Carlos Martínez: Two things: prioritization and expectation management. We always keep a realistic view of what’s possible—and we never commit to timelines we can’t hit.

In fact, I believe in under-promising and over-delivering. It builds trust. Internally and externally, people appreciate honest timelines and clear progress. That mindset is what keeps our teams aligned, motivated, and successful.

How do you measure success on your team beyond just “on time and on budget”?

Carlos Martínez: Those are important, of course—but success for us means more. Did we follow every step of the process properly? Was the documentation clear and complete? Did the client feel supported? Were users able to make the transition smoothly?

We also look at client satisfaction—formally and informally. A successful project is one where the outcome meets expectations and the journey there was collaborative, transparent, and empowering.

What’s one of the most rewarding projects your team has led recently—and why did it stand out?

Carlos Martínez: We recently helped a client meet PCI DSS compliance—in under two months. It was a high-pressure project involving major changes across their environment: creating a new Office 365 tenant, provisioning accounts, conducting penetration testing across AWS, Azure, domains, and more.

It pushed us technically and operationally, and it required learning a lot—fast—about PCI standards. In the end, the client passed their audit. That project was intense but incredibly rewarding. It’s a great example of how we can move quickly, work collaboratively, and deliver serious results under pressure.

How do you balance structure and flexibility—especially when projects shift or scope evolves?

Carlos Martínez: It’s all about mindset. You need a strong structure to guide the project—but you also have to stay adaptable. Scope shifts happen. Priorities change. Our job is to have the right frameworks in place so we can pivot without losing momentum.

We build in room for flexibility from the start, and we communicate closely with the client at every step. That way, even when the direction shifts, the alignment stays strong.

For clients who’ve never worked with a formal project manager before—what should they expect from partnering with your team?

Carlos Martínez: They should expect a true partnership. We don’t just “run the project”—we align with the client’s goals, work shoulder to shoulder, and bring a structured, strategic approach to everything we do.

Our team is focused on improvement—looking at the organization from every angle and finding ways to elevate performance, security, and operations. Clients can feel confident that we’ve got their back and that we’re committed to helping them grow the right way.
